JOB DESCRIPTION.

Second Baptist School is seeking a FULL-TIME ACCOUNTS PAYABLE / GIFTS OFFICER for the 2024-2025 school year.

  • Position Title: Accounts Payable / Gifts Officer
  • Reports To: Director of Advancement
  • Work Calendar: Eleven Month, Full-Time

JOB SUMMARY.

This role works in the school’s Office of Advancement serving as the accounts payable clerk for the school and foundation and as the foundation’s gifts officer.

DUTIES & RESPONSIBILITIES.
Essential functions of the job include but are not limited to the following:

  • Enter gift data for all incoming gifts and pledges
  • Process deposit transmittals for all gifts
  • Add, update and maintain vendor files
  • Prepare purchase orders
  • Process invoice payments, track purchase orders and invoices, review items for appropriate payment approval and supporting documentation
  • Process reimbursements for parent volunteers
  • Provide monthly Detailed Trial Balance reports to departments
  • Maintain activity fee class budgets
  • Facilitate refunds through our online software
  • Prepare weekly reports for online credit card deposit transactions
  • Prepare monthly report for online credit card transaction fees
  • Facilitate cash advances for cash boxes
  • Obtain W-9 forms from vendors
  • Reconcile the school’s monthly credit card statement
  • Assist the Office of Advancement with several evening and weekend events, including football games, dinners, and special events
  • Disburse mail to centralized department mailboxes
  • Perform other responsibilities as assigned by the Director of Advancement

CANDIDATE SUMMARY.

  • A bachelor’s degree from an accredited institution
  • Exceptional written and verbal communication skills
  • Strong experience with accounting-related responsibilities
  • Experience with Great Plains accounting software and/or Raiser’s Edge software considered a plus
  • Attention to detail and accuracy
  • Multitasking and organizational skills
  • A strong work ethic
  • A desire to lead and support all school-wide initiatives
  • A responsible steward of the school’s resources and a personal commitment to support the school’s fundraising efforts as able
